ServicePoint Text Messaging

The frequently requested ability to communicate via text messaging has been added to ServicePoint.  Texts can be used to send appointment reminders to customers, notify technicians of scheduled jobs, send change notifications, request approval/followup requirements, etc.  The text messages can be used to start two-way conversations to effectively communicate with customers and to react quickly to changing conditions.

Implementing text messaging can increase customer satisfaction and is a great time-saving feature.  A full description and setup information can be accessed by clicking this link.

What’s new in SP Mobile?

Recent updates to SP Mobile have introduced a number of new features and usability improvements. The latest service packs for ServicePoint and SP Mobile are always available on our Downloads page.

Install the latest build of SP Mobile to take advantage of the latest enhancements, including:

  • The use of update panels to reduce the redisplay and repositioning of individual pages whenever a server update is requested. No unwanted page scrolling.

  • Option to include captured images in emails generated from SP Mobile.

  • Grid row selection by touching/clicking anywhere on a row, instead of being required to click on the “Select” column.

  • A new option in SP Mobile setup to allow the entry of labor dispatch and return dates/times in the SP Mobile app. Buttons added within the app allow one touch notification that a tech is en route to a job

  • Automated sending of an email upon entry of a new work order via the SP Mobile app, if the default initial work order status specifies it. When the work order is saved, the email will go out to the “change to” recipients set up in the status code.

  • New options in SP Mobile setup to allow the definition of a specific work order status code, and a task invoicing code, to be used in work orders added via the SP Mobile app.

  • See the release notes on our Downloads page for full descriptions of features in each build of ServicePoint and SP Mobile.

    Updated ServicePoint Client file

An important update has been issued to the ServicePoint client file in service pack 276, and later. It is recommended to update each workstation that has the ServicePoint client installed.

The local ServicePoint client program will no longer store the location of the ServicePoint server in the workstation registry.  This has been updated to be stored in an .ini file in the workstation ServicePoint client install location.  This method will prevent a recurring permissions error on the registry location, common in previous versions.

The updated ServicePoint client program will be auto-updating going forward. Once the ServicePointClient file is updated on an individual workstation to version 2.3 or later, any update to the ServicePoint client that is included in a ServicePoint service pack will automatically be applied to the workstation the next time it is run.

For specific instructions on updating the workstation client, please see the ServicePoint release notes for build 276.

Adding new service requests via mobile device

A new function has been added to SP Mobile – users in the field may now selectively be allowed to add new work orders to ServicePoint directly from their mobile device.  Technicians can be granted individual permissions to add new work orders, see and clock into unassigned work orders, and/or see and clock into work order that were previously assigned to another technician.

Enabling techs in the field to log new service requests for customers will increase customer satisfaction and can free up home office resources by allowing service personnel to receive new service requests electronically.

    ServicePoint Email Server

ServicePoint now has its own email server setup information, allowing us to send email messages from within the application without requiring a MAPI compliant email program.  (No more Outlook!)

As of build 122, there is a new tab in Control Information. called “Email setup”, pictured below.

    SPEmailSetup

The tab allows entry and testing of smtp email server parameters to be used for emailing from within ServicePoint, as well as sending tickets from the field via the SP Mobile remote application.

Enter the following to allow the ability to send an automated email report within ServicePoint, or to send a receipt directly from within the web app.  This is optional, and needs to be modified only if direct emailing is desired.

    • Email server name – The value in this key should contain the name of your smtp email server. For example: “smtp.gmail.com” or “mail.yourdomain.com”.
    • Login user name – The user ID or user name to be used to log into the smtp server.
    • Login password – The password to be used for logging into the smtp server with the user ID above.
    • Port number – The standard outgoing smtp port is 25. However, some isp’s require a different value here. For example, 587 or 465.
    • Use SSL? – Check this box if your email server requires the use of a Secure Socket Layer for outgoing emails. Checking this box will set this value to “True”
    • From email address – The email address to appear in the “From” and “reply-to” email address of emails sent from ServicePoint.
    • CC email address – The email entered here will receive a copy of all emails sent from ServicePoint.
    • Email body signature – The text entered will be appended to the body of emails sent from SP. Forms groups allow the email body to be specified in the “Comment” of each emailed report.  The signature will be added after the comment text.
